At TelSpan we are always looking at ways to help you Connect, Communicate and Collaborate your message to your clients and internal teams. With more and more of these individuals working remotely, either at local coffee shops, coworking spaces, while driving, or even in home offices, make it easy for your participants to join your meetings from wherever they may be via their mobile phones.
When you are creating a meeting with a conference call, there are three things you should make sure you do:
- Create a One-Touch Dial-in on your Calendar Invite.
- The first part of the number is the conference number / next there are two ,, (commas for pauses) / followed by your conference participant code.
- Example: 18883924560,,123456#
- Make the Invite Android User-Friendly too.
- For your Android users it is best to add the participant or host codes in the calendar invite with the keyword CODE, this way Android will ask if you want it to dial the codes.
- Example: Conference Number: 888-392-4560 Participant Code: 123456#
- Outlook / Exchange Schedulers: It is best to highlight your One-Touch Dial-in number and create a hyperlink using tel: (tel:18883924560,,123456#) this way your Android Outlook users will be able to select it correctly inside of the Outlook app.
- For your Android users it is best to add the participant or host codes in the calendar invite with the keyword CODE, this way Android will ask if you want it to dial the codes.
- Include *0 for Operator Assistance.
- Make sure your attendees know they can get help from a live operator at TelSpan if they ever have any questions or if another participant is putting out some bad audio feedback.
- Example: *0 Reminder: If you experience any audio issues or need an operator assistance please use *0 (Star then Zero) while in your call and they can intercept your line and talk directly with you.
All together the meeting invite could look something like this so that your mobile participants can quickly get into the meeting and start collaborating with the rest of the team.
You will now be even more of a rockstar hero for making your mobile participant lives a bit easier!
BONUS: If you are always dialing into the same conference number and participant code, consider adding a New Contact with One-Touch Dialing already in-place.
For Apple & Android Devices:
- Add a new contact
- Give your contact a name
- Enter your conference number into the space for ‘phone’
- Then select ‘*#’ (Android) / ‘+*#’ (Apple)
- Then add 2 ‘pauses’
- Enter your participant code
- add ‘#’
In the end, the phone number will look something like “18883924560,,123456#”.
You should also add the DTMF codes in the notes of your New Contact so if you forget how to mute or access an operator, you can quickly access that information.
