No, WebControls is a web-based application that is accessed via your web browser via http://wc.telspan.com.
Yes! Once logged in with your existing username and password, you may select ‘Update Password’ on the left-hand side of your screen.
Once you have logged in, select the ‘Bookings’ tab across the top toolbar. From here, select the ‘CV’, Conference Viewer, icon – this is the icon resembling a person. Now you can see your attendees as well as your various conference controls.
If you do not see your in-progress conference, select ‘Refresh’ under the Bookings tab; your conference should appear. If it does not, check your login credentials to your conference code. As each meeting room has a different code, each meeting room also has a unique WebControls login.
Absolutely! Click in the text box under Name or Comment to edit these fields. Once the information has been entered it will remain on the line until you change it. These details will also appear in your conference reports, ClientPortal Reports and on your conference details portion of your invoice.
Yes and yes. You can adjust a single line as needed, select CTRL on your keyboard and highlight various lines or select SHIFT on your keyboard to select all lines from point A to point B.
Conference-wide controls will have an outline around the available icon. These features include: Mute/Unmute the Conference, Lock/Unlock the Conference, Secure/Unsecure the Conference, Start/Stop Recording the Conference, or Hang up all calls at the bottom of the CV, Conference Viewer.
If you have muted or placed an attendee on hold, select the ‘Return to Conference’ icon and this will unmute or place the attendee back live into the conference.
If you choose to ‘Lock the Conference’, any attendee trying to join for the first time or trying to rejoin will be directed to an operator for assistance. You may unlock the conference by selecting the same ‘Lock’ icon again.
If you choose to ‘Secure the Conference’, any attendee trying to join for the first time or trying to rejoin will be directed to an operator for assistance. This feature also stops the recording of your conference and prevents TelSpan operators from being able to listen into or speak into your conference.
No one likes to disconnect the whole call accidentally, so we have moved the option to ‘Hang Up All Calls’ to the bottom of your CV, Conference Viewer, window.
While in the CV, Conference Viewer, you can select ‘Settings’ at the bottom of the CV to disable/enable the available columns. Here you can also enable current talker notifications; Active Speaker Notifications which will display a speech bubble next to the participant/moderator icon and/or Display the Talkers Name in Title Bar. The title bar display is only available if the Name field contains text.
Yes! Our new WebControls offers a reporting feature. With the Bookings tab selected, adjust your ‘From’ and ‘To’ fields to the desired date range. This will populate a list of past conference that occurred during this specified time. To view specific user information, highlight a conference and select the ‘Reports’ icon. This will display the attendee’s phone number, what number they dialed into, the times they connected to and disconnected from the conference, the conference duration, if they were a moderator or participant, and any comments you included on their line at the time of the call.
Unfortunately, no. If you need to export data of your recent conference, please visit TelSpan’s account management tool, ClientPortal. If you do not have a ClientPortal login, you can either register at https://apps.telspan.com/clientportal or you can contact our Client Services team at 800.937.7726.
No, this is a feature is solely available in ClientPortal. However, the Recording tab in WebControls provides you with an indication of what conference have been recorded in the past 30 days. Need a recording older than 30 days? No worries! TelSpan retains these files for 90 days. You can request your recording via ClientPortal or you may contact our Client Services team at 800.937.7726 or by email at telspan@telspan.com.
The Templates tab allows you to see your associated participant and moderator codes. Much like recordings, you cannot manage your code from within WebControls, but is a feature you can manage within ClientPortal. Need some help? Do not hesitate to call 800.937.7726.
If you utilize TelSpanSecure, the use of PINs in combination with a conference code, you will be able to view the available attendees and their associated PIN. You can add or edit users by selecting ‘Add’ or highlighting a line and selecting ‘View’ then ‘Edit’.
